We find ourselves in a very pleasant position to be able to offer to all hotel owners an Extranet connection directly to our data base of www.fhotels.net and the real-time booking engine . This service is provided to you FREE OF CHARGE!!!

In a nutshell the Extranet Service provides the following:

  • Reservation management
    You can manage your hotel reservations and payments. Here you can also make daily checks on your reservasions, review your payments and manage your customers.

  • Accomodation management
    From here you can add, remove or edit hotels, manage hotel info, rooms, pricelists, availability, facilities, supplements, cancellations, payments, contracts, upload hotel photos and documents, SEO and alot more.

  • System settings
    This feature enables you to edit your language, culture, currency settings and password.

  • Now let us take a step by step tour of tour Extranet service and its features.

Help Topics

1.1 Login Page

Open your favourite web browser and type in or click on the following link:

www.fhotels.net/admin

You will see the following screen:

Your e-mail address is your Username.  In the Password field you will enter the 9 figure password that has been generated for you.   After your initial login you will be directed to the Reservations spread sheet, which is where any reservation requests you have received will be displayed.  We will discuss reservation processing at length later; the first priority is making sure that all of your hotel’s information is correct and current.

1.2 User Settings

If you wish to change your password, after you login click on the “System” tab, then click on your highlighted “Username”, when your user info appears click on the highlighted “Change Password” link.  You will be prompted to enter the password of your choice twice.

1.3 Tweak User Settings

If you wish to change your password, after you login click on the “System” tab, then click on your highlighted “Username”, when your user info appears click on the highlighted “Change Password” link.  You will be prompted to enter the password of your choice twice.

Here you can tweak other User Settings such as Language, Culture and Currency.

1.4 Password Reset

If you have forgotten your password click on the “Forgot your password?” prompt.  Then enter your e-mail address and Click “Reset account”. An e-mail will be sent to your in-box with a link.  When you click on the link you will be directed to an admin page where you can enter the new password you wish to have.  Please note: passwords must be at least 8 characters long and contain at least one capital letter and one number or symbol in order to be valid.

2.0 Accomodation

By clicking the ACCOMMODATION TAB you will be presented with a list of hotels that you manage. Click on the hotel name to select the hotel you wish to edit.

2.1 Allotment

Clicking on the hotel you wish to edit you will be presented with the following screen:

Notice the top left menu called Manage this hotel. Here you can find all of the information fields you can edit.
In order to proceed you will have to add a new allotment for your hotel so that you will be able add rooms, check availabilty and successfully manage it. Go on and click on the Add new allotment link.

2.2 Adding new Allotment

Give the your new allotment a name. Here for the sake of this example we give it a name "Default Allotment".

Click on Save button and then on the Availability link.

2.3 Availability Calendar

Clicking on the Availability link you will be presented with the following screen:

If your hotel is not new you may see your room types on the availability calendar. If you have just entered a new hotel you will have to add rooms to your hotel in order to be able to manage their availability. We will come back to this screen later on but first we have to add rooms to our hotel.

Go on and click on the Rooms link and then on the Add new room link to add a room to your hotel.

2.4 Adding Rooms

Clicking on the Add new room link you will see the following screen:

Here you can insert you room's basic info. Enter your room type name (e.g. Double Room) capacity, minimum guests, maximum guests, pricing type etc. and hit the Save button.

2.4.1 Room Descriptions

Next you will have to edit your room descriptions. Click on the Edit descriptions link

Give your description a name, write a description of your room, enter a page title, metadescription and metakeywords (if you don't know what to write here please contact our IT department for guidance).

Hit the Save button to save changes.

2.4.2 Room Facilities

You can add facilities to your room. Click on the Facilities link to add facilities:

Select the facility types that suit your room by clicking in the tickboxes.

Hit the Save button to save changes.

2.4.3 Add Room Photos

Click on the Photographs link to add photographs to your room (It is advised that your rooms photos are 640 pixels width by 480 pixels height). Here you have 2 options : Add new photo and Add multiple photos. What you select depend on whether you want to upload one or many photos. Click on the Add multiple photos. You will see the following screen:

You can assign your photos to different parts of your website depending on which part of your website you want to promote your room. For example if you want your room photos to appear on the Hot Deals section then select "HotDealPhotos" from the drop down list.
Click on the "Pick Files.." button and another pop-up window will appear that will allow you to navigate to your computer's folder and select multiple photos to upload. After you select your room's photos click on the save button to upload your room photographs.

2.4.4 Room Photos List

When upload is finshed you will see a list of your uploaded photos. Here you have the option to preview or delete your images.

Please feel free to upload, preview or delete your room's pictures.

2.4.5 Room Image Types

Now that you have uploaded your room photos you will have to assign to them an image type. Click on the image name from the list and notice the following screen.

Here you can reassign your photos to different parts of your website.

2.4.6 Room Photo Descriptions

You can add descriptions, captions and tooltips to your room photos. Click on the Edit descriptions link to edit them:

Select the desired language for the description, add your Caption, Description and Tooltip an then click the "Save" button to save changes.

2.5 Facilities

Here you can add facilities to your hotel. If you scroll down you will notice that there are several facilities types: General, Rooms, Conference, Accommodation Types, Chain, Property Class Type, Internet Access.

Scroll down and check the checkboxes of the facilities that apply to your hotel. Please leave the last facilities type called "Themes (System Use Only, Hoteliers Dont Touch)" unchanged because it applies to system use only. When you have finished press the "Save" button to save your hotel's facilities.

2.6 Supplements

Click on the Supplements link on the menu to the left and then click on the Add new supplement to add one.

Insert a name for your supplement in the "Name" editbox and a category name in the "Category" editbox. Select "Pricing Type (guests) based on how you charge your supplements, Pricing type (time) based on when you charge your supplements, Time pricing unit (time) based on how often you charge for your supplement. If this is a unique supplement please check the "Is unique" checkbox. Add more supplements to suit your hotel's requirements.

2.7 Hotel Descriptions

You can also add several descriptions regarding your hotel. Click on the Descriptions link to edit them:

Hotel descriptions include general description, abstract, payment policiy, cancellation policy, location info, rooms info etc. Enter your text for each description and click the "Save" button to save them.

2.8 Hotel Extra Info

There is also the possibility to add extra info for your hotel click on the Extra Info link and you will see the following screen:

There are two free variables and one field called "Comments & Markets". All of them will appear under "Additional Information" section of step 2 during room booking process.

2.9 Hotel Photos

Adding Hotel photographs is just as easy as adding room photos and the process is the same. Click on the Photographs link to see the following page:

Click on the Add new photo link to see the following page.

A pop-up window will open for you to select the photo you want to upload. Navigate to the folder that your photo is located and click "OK" . Add a Caption, Description and Notes and the click on the "Save" button to upload it.

2.10 Hotel Boards

Click on the Boards link to see the following page.

A set of boards have been created for you. All you have to do is to select wheter is active and default for your hotel. You can do this by checking the "Active" checkbock and by selecting the "Is default" radio-button respectively.

2.11 Hotel Guest Types

Click on the Guest Types link to see a list of predifined guest types. You can click on the Manage guest types link to edit your hotel's guest types.

2.11.1 Hotel Guest Types. Manage Guest Types 1

If you click on the Manage guest types link to edit your hotel's guest types you will see the following warning:
"Please note that altering the guest types configuration will cause the deletion of all prices and the rooms will need reconfiguration."

If you choose to continue please seek advice from our support team. They will help you to reconfigure your guest types correctly.

If you click on the "Continue" button you will see the following screen:

Select the number of guest types (max. 5) from the drop-down list and click on the "Continue" button.

You are presented with the following screen: Here you select guest type 1 age "From" and "To" from the drop-down list. Click the "Continue" button and repeat the same process for all the guest types.

After you have finished with all guest types you will see a list of all guest types simillar to the following screen:

Click the "Save" button to save them or "Back" to modify them.

2.12 Hotel Pricelists

Click on the Pricelists link on the menu to the left to access the pricelists page.

To modify an existing pricelist click on it's name. For example to modify the "selling rates" pricelist click on on it's link under the "Name" column. To add a new pricelist click on the Add new pricelist link.

2.12.1 Hotel Pricelists. Add new pricelist

When you click on the Add new pricelist link you see the following screen:

Give your pricelist a name and then assign a usage to it from the drop-down list. There are 3 options "Main pricelist", "Official pricelist", "Net pricelist". Choose the one appropriate for you. Next, select validity period for your pricelist by clicking on the calendar icons. Select "Valid from" and "Valid until" dates. If you wish the prices of your hotel's rooms, boards and supplements to be valid on a season base check the "Force Global Seasons" checkbox. Click on the "Save" button to save your pricelist.

2.12.2 Hotel Pricelists. Copy pricelist

If you wish to copy a pricelist to another one click on the Copy pricelist link and you will see the following screen:

Click on the "Pricelist" drop-down list to select the source pricelist then click on the "Copy to" drop-down list to sect the destination pricelist. Here if you want to create a new pricelist click on the "Add new pricelist" selection and give it a name otherwise select one of the existing pricelists. Next insert the Discount/Markup for accommodation, boards, supplements in the corresponding editboxes. If you insert for example -10 for accommodation the prices for the new pricelist will be equal to 90% of the corresponding accommodation prices of the source pricelist. If you insert 20 for boards the prices for the new pricelist will be equal to 120% of the corresponding board prices of the source pricelist.

2.12.3 Hotel Pricelists. Edit pricelist info

Now that we have seen how to create or copy a pricelist click on the Pricelists link on the menu to the top left to see the a list of your hotel's priclists. To edit one of them click on it's name e.g click on the "Official pricelist" to edit it.
You will be presented with the following screen:

Here you can edit basic info of your pricelist (same fields as the ones we saw previously when we created a new pricelist) To edit your "Official pricelist" for Rooms, Boards, Supplements, Special offers. Click on the corresponding link.

2.12.4 Hotel Pricelists. Edit Rooms' pricelist 1

If you click on the Rooms link you will see the following screen. On the top of the screen you can see the current prices for each of your room types. Now focus your attention at the bottom part of the screen under the "Select dates" title.

Select a "From", "To" date range for your rooms' pricelist by clicking on the calendar icons, then select the pricing scheme based on weekdays by clicking on the radio-buttons. After you have finished press the "Continue" button to the next step.

2.12.5 Hotel Pricelists. Edit Rooms' pricelist 2

In this step you can set the prices per room type per guest type. You can skip price setting for any of your rooms by checking the "Skip this room" checkbox.

If you enter a price in the "price for one adult" editbox you will notice that all other prices for the different guest types are automatically calculated for you based on the percentages below it. In any case you are free to modify them based on your will. Press the "Continue" button to go to the next step.

2.12.6 Hotel Pricelists. Edit Rooms' pricelist 3

In the last step you can review and save your room's prices. If you wish leave out of changes the prices of any of your rooms check the "Leave current prices" checkbox on the correspong room.

Click on the "Save" button to save your room's prices.

If you enter a price in the "price for one adult" editbox you will notice that all other prices for the different guest types are automatically calculated for you based on the percentages below it. In any case you are free to modify them based on your will. Press the "Continue" button to go to the next step.

2.12.7 Hotel Pricelists. Edit Boards' pricelist 1

By clicking on the Boards link you will see the following screen. Focus your attention at the bottom part of the screen under the "Select dates" title.

Select a "From", "To" date range for your boards' pricelist by clicking on the calendar icons, then select the pricing scheme based on weekdays by clicking on the radio-buttons. After you have finished press the "Continue" button to the next step.

2.12.8 Hotel Pricelists. Edit Boards' pricelist 2

In this step you can set the prices per board type per guest type. If you wish leave out of changes the prices of any of your boards check the "Leave current prices" checkbox on the correspong room.

Insert the prices you wish for each borad type in the edit-boxes and press the "Save" button to save them.

 

2.12.9 Hotel Pricelists. Edit Supplements' pricelist 1

Go on and click on the Supplements link. You will be presented with the following screen. Look at the bottom part of the screen under the "Select dates" title.

Select a "From", "To" date range for your supplements' pricelist by clicking on the calendar icons, then select the pricing scheme based on weekdays by clicking on the radio-buttons. After you have finished press the "Continue" button to the next step.

2.12.10 Hotel Pricelists. Edit Supplements' pricelist 2

In this step is where you insert the prices for your supplements into the corresponding editboxes. If you do not wish to alter the price of any of your supplements, click on the "Leave current prices. DO NOT save".

After you have finished press the "Save" button to save the prices of your hotel's supplements.

2.12.11 Hotel Pricelists. Add/Edit Special Offer

Ta add/edit a special offer click on the Pricelists link on the menu to the left and then click on the Special offers link.

In this page you have several options for your offer. Start by giving it a name for example "Double Room Offer". Then choose th type of offer. In this example we choose "Discount" offer type. Next chooe wheter or not this special offer is selectable by the user on your website. After this choose the Discounted services of your special offer. Here we choose "Room" discount. Next choose to which room type your special offer applies. We choose "Double Room" here. After this select what type of "Discount over accomodation" you want to apply to your offer. In this example we choose "Weekly discount" and 15% from Monday to Friday and 10% for weekend. Next choose the date range that your special offer applies by selecting a "From", "To" date using the pop-up calendars. In this example we chose "equal or between" the dates. On "Other settingts" you may choose whether or not to "Display offer description on website".

Next section is "Activation rules". For example select whether or not this offer is valid if check in date is "equal or after a date", "equal or before a date" or "between dates (boundaries included)" and select "From", "To" dates by clicking on the calendar icons. Do the same for "check out" date, "request date". Next select if this offer is valid "If days from request until check in are" "more than or equal to", "less than or equal to", "between or equal to" and insert the number of days in the editboxes. Repead the same process for "If reservation days are", "If total room nights are", "If total rooms are", "If number of guests in the room is". After this we choose whether or not our offer is valid if stay "contains" or "does not contain" Sunday, Monday, Tuesday etc.

When you are finished with inserting your offer's settings click the "save" button to save it.

2.13 Payments Configuration

To configure paymets click on the Payments Configuration link on the main menu to the left. Then click on the Add new group link and you will see the following screen:

In this page you enter the basic info of your payment group. Give a name to your payment group by entering it into the "Name" editbox. Next if you wish to use offline payments check the "Use offline methods" check box. Do the same if you do not wish to use credit cards or use proxypay by checking the corresponding checkboxes.

When you are finished click on the "Save" button to save your payment group.

2.13.1 Payments Seasons. Add new season

Now that we have added our payment's basic info we can add a "Payment season". Click on the Payments Configuration link on the main menu to the left. Then click on the payment's name that you want to add a season to. Next click on the Payments seasons link and then on the Add new season link. You will see the following screen:

Here you select the validity period for your payment season. Select "From", "To" dates by clicking on the calendar icons, then click on the "Save" button to save your payment season.

2.13.2 Payments Seasons. Rules Configuration 1

After you have saved your payment season's basic info you will be automatically redirected back to the payment seasons list. Click on your payment season's name to edit it. It is necessary to add rules to your payment season. Go on and click on the Rules configuration link and then on the Add new rule link. You will be presented with the "Payment rule wizzard":

Select from the drop-down list whether you want payments "On reservation placement" or "Prior to arrival". In this example we selected "On reservation placement". Click on the "Continue" button to go to the next step.

2.13.3 Payments Seasons. Rules Configuration 2

In this step of our rule determine that we require payment on reservation placement "if days until check-in are equal or more than". So we insert the number of days in the editbox to the left. In this example we insert 15 days.

In this step we have to insert.

2.13.4 Payments Seasons. Rules Configuration 3

In step 3 we set how much we charge in our rule and we also set our minimum charge. In this example se set "Charge" to 100% and "Minimum charge" to 75%. So enter your "Charge" as well as your "Minimum charge" in percentage or days in the corresponding editboxes and click on the "Continue" button.

2.13.5 Payments Seasons. Rules Configuration 4

In the last step you review the setting of your payment season rule. If you want to change something you can click on the "Back" button otherwise click on the "Save" button to save your rule.

2.14 Cancellations

You can manage you hotels cancellation policy. Click on the Cancellations link on the menu to the and you will see the following screen:

2.14.1 Cancellations. Add new cancellation policy

To add a new cancellation policy click on the Add new cancellation link. Select the validity period for the cancellation period. Select "From" and "To" dates by clicking on the calendar icons. Next the number of "Days before check-in" and the coresponding "Panalty" in percentage. In this example we set that the customer pays no penalty if he/she cancels the reservation 61 or more days before check-in, a penalty of 30% if he/she cancels the reservation 22 to 60 days before check-in and so on.

After you have finished click on the "Save" button to save your cancellation policy. After you have saved your cancellation police you will be redirected automaitically back to the cancellation policy list. To copy the "Global cancellation policy" to your current cancellation policy click on the Copy gloabal cancellation policy link. If you wish to edit your cancellation policy just click on the cancellation name and you will see the screen above. Please note that cancellation policys can't overlap the same period.

2.15 Non Operational Periods

In this section we will describe how you can set your hotel's non operational periods. To do this just click on the "No operational periods" link on the menu to the left and you will see the following screen:

2.15.1 Non Operational Periods. Add new

To add a new non operational period click on the Add new period link screen above and you will see the following screen. Select the validity period for the non operational period. Select "From" and "To" dates by clicking on the calendar icons. When you have finished click on the "Save" button to save your new non operational period.

 

2.16 Reservations Confirmation

This is where you will be able to view a list of your confirmed reservations. You can see infromation like Reservation Id, Code, Customer Name, Surname, Check In, Check Out dates, Total Cost etc.

2.17 Hotel Availability

Now that we have setup our hotel rooms, boards, prices, facilities etc.we can setup our hotel's availability. Click on the Availability link on the menu to the left (Accomodation --> Click on hotel "Name" ---> "Availability) and you will see the screen below:

On the top of the screen you can see the availavility calendar that is filled with "X"s for the moment becaule we haven't setup our hotel's availability. Look at the bottom of the screen at the area titled "Edit availability".

2.17.1 Hotel Availability. Edit Availability

Now that we have setup our hotel rooms, boards, prices, facilities etc.we can setup our hotel's availability. Click on the Availability link on the menu to the left (Accomodation --> Click on hotel "Name" ---> "Availability) and you will see the screen below:

On the top of the screen you can see the availavility calendar that is filled with "X"s for the moment becaule we haven't setup our hotel's availability. Look at the bottom of the screen at the area titled "Edit availability".

There are 3 steps here:

1) Select a date range in the form of "From", "To" by clicking on the calendar icons.
2) Select the rooms for which you want to set availability by checking the checkboxes next to them.
3) Select from the drop-down list one of the three options: "Set the available rooms equal to", "Reduce the availble rooms by", "Reduce the availble rooms by" and insert the number of rooms in the editbox to the right. In this example we have selected "Set the available rooms equal to: 2". Click save and from a calendar select a month that falls inside the availbility. You will see the screen below:

2.17.2 Hotel Availability. Restrictions

You can add restrictions ergarding your hotel's availability. Click on the Restrictions link (under Availability) and then click on the Add new restriction link. Now that we have setup our hotel rooms, boards, prices, facilities etc.we can setup our hotel's availability. Click on the Availability link on the menu to the left (Accomodation --> Click on hotel "Name" ---> "Availability) and you will see the screen below:

3.0 Reservations

If you click on the "Rearvations" tab on the top horizontal menu you will see the following screen:

Here you can see a timeline of your reservations spanning 19 days and below it a paged list of your reservations starting with the most recent. If you want to search for specific reservation on specif days or priods of time and/for specific hotel, customer, reservation status, check-in, check-out dates etc. thenclick on the expand link to the right to open the hidden search area:

Insert search details for example "Customer" name: Demo Guest" and click on the "Refresh list" button. You will see the following search result:

3.1.1 Reservations. Confirm a reservation 1

In case you have not setup availability for your hotel you will have to confirm every reservation. Unconfirmed resrvations will appear as blue horizontal lines on the timeline.

Click on the reservation "Code" from the list below the timeline to process your unconfirmed request

3.1.2 Reservations. Confirm a reservation 2

If you click on the reservation code you will see the following screen:

On the top of the screen if you look inside the yellow rectangle you will notice that you have 3 options:

1) Accept request
2) Reject request
3) Propose an alternative

Click on the Accept request link to go to the next step.

3.1.3 Reservations. Confirm a reservation 3

>If you click on the Accept request you will be presented with the following screen:

>On the top of the screen you will see the notice "Operation completed successfully" and bellow it you can view all information related to the reservation. On the top right you will see a link called (in this example)Demo Hotel. In your case it will be your hotel's name. If you click on this link it will take you directly to your hotel's settings as we saw before.

3.1.4 Reservations. Decline reservation

If you want to decline a request when you are on screen shown in section 3.1.2 you will have to click on the Reject request. If you do so you will see the following screen.

On the top of the screen you will see the notice "Operation completed successfully" and bellow it you can view all information related to the reservation. On the information below you will notice the "Status" of the reservation "Declined request".

3.1.5 Reservations. Propose an alternative

Sometimes you may wish to propose an alternative to a reservation request. If you wish to do so click on the Propose an alternative on the screen shown in section 3.1.2 and you will see the following screen:

These are the settings for room #1. Select number of adults, children, infants, Room type and Board. If you want to add another room click on the Add link and repeat the same procedure for room #2.If you wish to remove a room click on the Remove link to the right. When you have finished click on the "Continue" button to go to the next step:

Select "Check-in" and "Check-out" dates by clicking on the calendar icons. When you have finished click on the "Continue" button and you will see the following:

this is a "Price analysis" of the alternative reservation that you want to send to your guest. Click on the "Continue" button to go to the next step:

Here you are notified that if you continue without unchecking the "Email to customer" checkbox then an email with your altrnative reservation will be sent to the customer. Press on the "Continue" button to go to the next stage:

In this step is where you select the language of the email that you will send to the customer. Select the language you wish from the drop-down list and click on the "Continue" button to go to the final step:

In this final step you are notified about the status of the alternative reservation proposed to the customer and thatif you click on the "Save" button an email will be automatically sent to the customer. Click on the "Save" button to go to the final notification screen:

Click on the "Close" button to close the wizzard.

3.2 Reservations. Manage reservation. Basic Info

If you go back on the reservation screen shown in section 3.1.2 you will notice that there is a menu at the top left titled "Manage this reservation"

We have already seen the basic info screen so now go on and click on the Customer link and you will see the following screen:

From the screen above you can modify your customer's basic info such as "First name", "Last name", "Email" etc. When you have finished editing your customer's basic info click on the "Save" button to save changes.

3.2.1 Reservations. Manage reservation. Payments

Click on the Payments link under Manage this reservation to see the following screen:

This screen is just a list of paymentsper reservation. You can see info like: "Date to pay", "From", "To", "Status", "Payment method" and "Total cost". if you wish to edit your payment click on the Edit link to access the edit page:

In the screen above you can modify reservation payment info like "Payment type" , "Status", "Amount", "Payment reference" and "Date paid". Modify the corresponding fields and then click on the "Save" button to save changes.

3.2.2 Reservations. Manage reservation. Communication - Notes View

Click on the Communication - Notes link under Manage this reservation to see the following screen:

If you llok at the screen above you can see several notifications and activity logs regarding your hotel and reservations. This page is divided in two parts: "Journal" and "Logs" You can view and edit "journal items but you can only view logs. To view a journal item click on the View link to access the page:

In the screen above you can modify reservation payment info like "Payment type" , "Status", "Amount", "Payment reference" and "Date paid". Modify the corresponding fields and then click on the "Save" button to save changes.

 

3.2.3 Reservations. Manage reservation. Communication - Notes Edit 1

If you go back at the Communication - Notes a main screen you can edit one of the journal items by clicking on the Edit link. Go on and click one of them to see the following screen:

In ththis example we can see that our journal item is an email but it could be a note, fax, telephone or SMS. You can modify this email by setting a "Reminder", the "Subject", "Notes" and the message body in the corresponding fields on this form. After you have made you can save your changes by clicking on the "Save" button. You can always view the result by clicking on the View link on the top of this screen

3.2.4 Reservations. Manage reservation. Communication - Notes Edit 2

You can add a new note or record you go back at the Communication - Notes a main screen you can edit one of the journal items by clicking on the Edit link. Go on and click one of them to see the following screen:

Select the type of the journal item you want to add from the drop-down list. You have options "Note", "Fax", "Email", Telephone", "SMS". Then go on and select whether you want a reminder or not and add the text you want in the notes textbox. Click the "Save" button to save your journal item.

3.3 Reservations. Payments

You can check out your payments and your totals by selecting "Reservations" and then "Payments" from the top horizontal menu. You can see the following screen:

Here you will find info like payment "Status", "Date to pay", "Date paid", "Payment type", "Amount", "Total" etc.

You can directly edit any of your payment by clicking on the Edit link to the right:

You can make modifications to your payment similar to the ones you we able to do in section 3.2.1
